Manual Paper Processes Limit Visibility and Control
Before TrackVia, Northside was sterilizing their tools according to AAMI standards, but was managing the auditing process manually with paper forms, documentation, and an instrument tracking system called SPM. Using paper forms not only made the auditing process cumbersome, it limited the hospital’s ability to easily review all their data and self-identify areas of improvement during their quarterly executive sterilization quality council meetings. Additionally, the SPM software didn’t provide the visibility or communications they needed.
As part of their commitment to unsurpassed care and cleanliness, Northside wanted to gain tighter control and visibility into their instrument sterilization processes and data. They sought a solution that could pull sterilization process data on-demand to streamline their AAMI audits, quickly address audits, increase their preparedness for joint commission meetings, and allow cross-department collaboration. The solution needed to address reporting and score carding. Additionally, Northside required the solution to be robust, flexible, scalable, and user-friendly for employees to capture and view data. Lastly, Northside wanted a mobile-ready solution they could build and customize to their unique needs.
Automating Processes for Improved Data and Reporting
After reviewing several solutions, Northside Hospital selected TrackVia for its ability to be customized and self-managed by their team, as well as for its ability to provide enhanced visibility, communications, and real-time data. Northside created a custom mobile workflow application that automates every step in their sterilization audit process. Additionally, the mobile application prompts and allows employees to attach photos and enter notes to tasks, and also captures timestamps for each task — providing instant visibility and real-time reporting by timespan, facility, employee, shift, and so on.
Northside also built its TrackVia mobile application to tie their process to specific AAMI audit requirements – allowing them to better understand their performance relative to the AAMI guidelines, as well as know where they are at-risk and can improve.
Meeting Quality Objectives With Ease
Since building and implementing their TrackVia application, Northside has deployed a common quality inspection program for the first time across a 3-hospital system and eight outpatient centers. With a standardized definition and process around quality, Northside is measuring outcomes to that standard.
